In the past we used our shopping cart on biggerworld.com for Ebmc registrations. That involved creating a user name, login etc and it was quite complicated for you, and for us also since we had to copy everything from the server to our database. Also the data was not actually encrypted so the info was on the server for a while before we retrieved it... All in all is was not especially safe, quite long and a bit complicated. This year we propose that you'd send us your registration in the simplest form there is, an email. No pdf form, no complicated paper to fill, just send us your info in a simple plain email. We have never had any security issues since we organize this event, so everything should work smoothly. If you're worried about safety of your data, we have a few proposals listed below in the PAYMENT section.

Important Notes :

The EBMC@must.be  address is protected by SPAMARREST – Once you send your registration, if you email address is not known by our system, you will get an automatic reply from Spamarrest to ask you to verify your address.

Once you have sent your registration, if you don’t receive a confirmation email within 8 days, please email us the registration again, but indicate you have sent it before, to avoid double billing.

SEND YOUR PAYMENT

Credit Card : If you want to pay by VISA, MASTERCARD or AMERICAN EXPRESS, just add your card number, cardholder name, expiration date and cvc code (3 digits on front, or 4 in the back for Amex) to the information you are sending us. 

If you are worried about safety, you can split the number in two parts, or send it by fax or post. But be aware that we never has any problem with safety since we started in 1990. Another way to send it is to scan your card and send the image attached or embedded in the email (but then don't forget to give us the cvc code in the text).  Note : to remain fair to the people paying cash or by bank, the credit card company commission will added to the price charged - Visa/MC : 3%, Amex 5%.

Make sure you encode your payment with all costs to the sender. Only the money credited on our account will be considered as paid.

WE ACCEPT PAYPAL PAYMENTS for ONE registration only (one person). If you register for more than one, please submit credit card payment, or bank transfer. Add 25 euros to the total, for paypal processing costs & money transfer charges.

 

 

Cash : Sending cash through the mail is illegal in some countries and we cannot advise it as a safe payment mode. But if you want to take the risk, you can mail your registration and euros cash (paper only, no coins) in a regular letter (not registered) to the mail address listed in the contacts page. 

 

Checks / Money Order : Sorry, we don’t accept these forms of payment anymore.

 

 

In any case, please indicate which payment mode you are choosing when you send your registration to us.

 

 

Notes : 

- At the registration desk at the hotel from Thursday Noon, we will take payments by credit card, and also accept payments in Euros cash.

- Sorry, we no longer accept payments by checks, western union, or money orders. 

- Credit card statements will show a payment for "Girth & Mirth Marchienne".  

- Attention : it is important that you bring to the Ebmc registration desk the credit card you have used to register, in case a verification is necessary. Thank you.

EBMC - Terms and Conditions

Anyone registering for Ebmc indicates by his payment that he is accepting the inner rules and conditions of Girth & Mirth Belgium asbl. Our responsibility is limited to the providing of the services, food, and entertainment. We cannot be held responsible for any problem, theft, harm that you might occur while participating to our event. For all events happening at the Oasis sauna, the Oasis is responsible and insured. For any event happening in the hotel, the Hilton is responsible and insured. For the event in Aqualibi, Walibi SA and/or the bus company is responsible and insured. During your personal transport between these venues, you are responsible for your actions and whereabouts. Anyone registering for Ebmc indicates by his payment that he is accepting the inner rules and conditions of Girth & Mirth Belgium asbl and becomes for one year member of our club. We advice people to act safely during our event and in general, but cannot force people to change their behavior.

Cancellation terms

Refunds are only given on reception of a written request. They are given on an individual basis.

 

If you had to cancel your participation, refunds will only be given until the following dates, and minus the following administrative charge :

- for personal reasons not to be explained until June 30th (adm. charge 15%)

- for personal reasons not to be explained until August 15th (adm. charge 25%)

- for personal reasons not to be explained until September 30th (adm. charge 50%)

  Note : No refunds for personal reasons will be given for a cancellation after October 1st at 0h00 CET.

 

- for urgent unexpected emergency medical reasons or acts of god, until July 30th (adm charge 10%).

- for urgent unexpected emergency medical reasons or acts of god such as floods, earthquake, house destroyed, until October 15th (adm charge 35%).

No refunds for any reason will be given for no-shows or for cancellations received in writing later than October 15th at 0h00 CET.

 

Planned/scheduled medical procedures are personal reasons, not emergency. If a medical procedure is taken into account, it only involves the person having the procedure. Any accompanying person cancelling for the same reason witout being concerned by the procedure, will be charged the administrative costs for personal reasons.

For all dates indicated, the year is the one of the event you registered for. Times : the deadline is the day indicated at 0h00 CET (central european time) and only the date and time of reception of the request will be taken into account. Mailing date and local time of the sending of an email or fax, as well as mailing date on a letter will be irrelevant.

 

Notes :

Later than the dates indicated above, unless it is for the emergency reasons explained above, we cannot guarantee refunds until after the event, as the meals and other costs are booked and paid. Only AFTER the Convergence, if the budget breaks even and we don't loose money, then we can refund people who have had to cancel for personal reasons and communicated  later than the deadlines, on a proportional basis, minus a 35% charge for administrative costs plus the costs of the refund (see above)

NO refunds are given for cancellations FOR ANY REASON incoming later than October 15th (date of reception of the fax, e-mail or date of arrival of the letter in our po box - not date of sending : there are other ways to warn which are quicker than mail).  No refunds are given for no-shows.

Refunds are given on an individual basis (if you have registered for 2 persons and you decide to cancel, we do not automatically consider the second person as cancelled, unless the demand and the reasons are valid for both and clearly explained as such).

All refunds will be sent by check (in dollars on a US bank in the USA, in euros on our bank in Europe). Within Europe, we can send the refund by IBAN transfer, with all costs to the receiver (we need IBAN and BIC codes, as well as the name of your bank and the city where your bank is located).

A way to avoid any costs is to transfer the amount to a member account at G&M-Belgium. You may select regular membership, honorary membership or sponsor membership (see: www.biggerworld.com   > shopping > membership for details). Then, the amount is kept in your member's account, used yearly for membership fees). If you select this, there is absolutely NO COST for cancelling the ebmc, 100% of the money paid goes to your member account.

If after a cancellation, you would decide to re-register, you'd have to do it from scratch and at the present tariff. Medical or emergency reasons (floods, earthquake, fires, Death of Diana, etc) must be justified by an official statement from a physician or from the authorities.
